SWIM TEAM - MEET VOLUNTEER POSITIONS:
Home Meet Set-up and Break-Down
- Volunteers move deck furniture, set up tents, hang signage and prepare the pool area for the meet (see maps as a guide).
- The pool should be ready for competition 30 minutes prior to the start of warm-ups.
- During Home NVSL Saturday meets the pool is closed to members for the duration of the meet.
- Developmental Monday meets use the main pool and the training side of the pool remains open to members during the meet.
- Many hands make light work!

Marshals
- The Marshal is in charge of keeping walkways clear, help with directional flow of swimmers, as well as assisting with the spectator area and helping to maintain noise control before the start of a race. It is one of the best jobs to get an up close view of the meet.
- Marshals must be on duty starting when swimmers enter the pool for warm-ups until the last race is complete.
- Marshals will receive an orange vest to wear while on the pool deck.

Runners
- Runners help deliver time-cards from each of the 6 lanes, to the data table (under the porch area near the pool house)
- Time required: Duration of meet
Clerk of Course (COC)
- The Clerk of Course organizes the swimmers for each event, making sure swimmers are in the correct heats and lanes and dividing out swimmers into heats, if necessary.
- Clerks help the meet run smoothly and without delay.
- 8&Under COC [and 9-10 Butterfly]:
- Line-up the swimmers on the spots by the diving boards
- Bring swimmers to the starting cubes when it’s time for their race
- Have the next heat of swimmers lined up “on deck” (behind them) to help the meet run quickly
- 9& Up COC:
- Use the chairs behind the timing tables to line up the swimmers in their heats
- While one race is starting, have the next heat stand behind the timing tables, with the following heat sitting in the chairs
- With each event, move the swimmers up (2nd row moves to first row; first row stands behind timing tables, etc).

Relay Take-Off Judges
- Relay Take-off Judges are needed during the relay portion of the Saturday meets.
- The Relay Take-off Judges are responsible for watching the incoming swimmer touch the wall while also watching the departing swimmer start their leg of the relay to make sure that no swimmer takes off too early.
- Time required: Last half of meet (except for Relay Carnival)
Timers (3 per lane)
- Three timers are needed for every racing lane, plus alternates/substitutes.
- Timers verify the name of the swimmer in the lane before the race and then time each race.
- A time from each stopwatch will be recorded on the swimmer’s card:
- The middle time is selected as the final time
- If there is a “double” (2 identical times) or “triple” (all 3 times exact same)– that is the official time
- One timer will be responsible for writing all 3 times on the card
- The final time is recorded on the timing boards.
- After the time has been recorded on the timing board, hand the card to the runner so they can take it to the data table for recording.
- The Chief Timer will review all of the above procedures at the Timer Briefing prior to the start of each meet.

Chief Timer
- The Chief Timer is in charge of all timing and recording results for each race.
- Chief Timer maintains the timer box with supplies/equipment
- Each lane needs: 3 small clipboards, 3 stop watches, pencils
- The Chief Timer will verify the appropriate time is circled (per the above).
- After each race the Chief Timer will remind all timers to “Clear your watches”
- The Chief Timer also starts a stopwatch for each race. In the event there is an issue with a timer's stopwatch, the Chief Timer can use their stopwatch so 3 times are recorded for each lane.
- Any issues with stopwatches or the time recorded on a timecard must be resolved with the Chief Timer prior to the conclusion of the meet.

Table Workers:
Table Workers perform a critical part of the swim meet by sorting timecards, verifying times, and preparing ribbons. Table workers sit at a table, often to the side of the deck, and are responsible for the core administration function of the meet. They work closely with the Data Coordinators from both teams to manage all the information coming in from each event. The table workers include:
- Place recorders (1 per team) – raise discrepancies in the timecards with the Table Chief and Chief Timer, record disqualifications (DQs) when received from the Referee, determine the order of finish for each race and write it on the timecards, check for any team or NVSL records and mark the timecard appropriately.
- Verifiers (1 per team) – verify each swimmers’ names, times, place or disqualification status. Note any new NVSL or team record on the printed verification sheet for the Announcer.
- Award Clerks (1 per team) – label ribbons for each event.
- Table Chief (1 per meet) – sets up the table area, provides and manages the “table box” of supplies and helps keep the flow of the table going with the table workers throughout the meet. Responsible for reconciling any issues with the timecards and validating all information is properly recorded for the meet.

Announcer
- Announces each event and swimmer and provides updates on event results and team scores at the Saturday morning meets.
- The announcer helps to set up the sound system prior to the meet, updates and reviews the script for the meet and makes pre-meet and post-meet announcements.
- The announcer is assisted by another volunteer who writes the event number and heat number on a wipe board, to keep track of the meet.
- The announcer coordinates with the Team Reps, the Meet Referee and the Table Chief.

Concessions & Meet Supplies
- We need 2-3 volunteers to help run the concession stand.
- Job duties include:
- setting up the concessions
- collecting all food items brought by other volunteers (ice, water, donuts, fruit, muffins, bagels)
- managing the cash box & the credit card payment system
- breaking down the set up at the end of the meet
